What should the “Add Inspection” shortcut Do?

Currently, inspectors can start an unscheduled inspection from the Facility Maintenance screen. We are exploring a new “Add Inspection” shortcut on one of the app’s search screens. Before we decide where it goes, we need to determine what it should do.

Here are two situations inspectors encounter in the field:

Unscheduled inspection (ad hoc): One of your inspectors is called while in the field and needs to inspect a restaurant today. The restaurant is already in the system — it just doesn’t have a scheduled inspection. They need to start one on the spot.

Facility not in the system (orphan): One of your inspectors arrives at a location and finds a business that isn’t in the system — it may be unlicensed or simply not yet registered. They need to document what they observed, but there’s no facility record to attach it to.

Today, to create an unscheduled inspection for a facility already in the system, inspectors navigate to that facility’s record on the Facility Maintenance screen and add the inspection from there.

Our team is deciding how much the new “Add Inspection” shortcut should handle. Please read both approaches below, then answer the questions.

Approach A: Combined workflow: The “Add Inspection” shortcut handles both situations from one entry point. After clicking, the inspector searches for a facility. If found, they start an unscheduled inspection (ad hoc). If the facility is not in the system, the app routes them to document the visit without a linked facility record (orphan inspection). One shortcut, one starting point for both situations.




Approach B: Separate workflows: The “Add Inspection” shortcut starts unscheduled inspections for facilities already in the system (ad hoc). After clicking, the inspector searches for a facility and begins an inspection. If a facility is not in the system, the inspector uses a separate option (such as “Document Facility Visit”) designed specifically for recording visits to facilities not yet in the system. The two tasks have separate starting points so each can be designed for its specific purpose.

Post-Sync Orphan Review Workflow

When an inspector documents a visit to a facility not in the system and syncs their device, that record needs to be reviewed and connected to the correct facility. The following questions help us design what that review process looks like for supervisors.

In the last survey, supervisors/admins told us they want orphan inspections to appear on the supervisor worklist for review. Below is a mockup of what that new section could look like:
